Workspaces

Workspaces are the top-level organizational unit in Flokan. Every piece of content you create — boards, files, automations, documents — lives inside a workspace. Think of a workspace as a self-contained environment for one team, channel, or production group.

You can belong to multiple workspaces simultaneously, and each workspace has its own members, roles, permissions, integrations, and subscription plan. This makes it possible to manage multiple YouTube channels or production teams from a single Flokan account.

Creating a Workspace

  1. Click the Workspace Picker in the top-left of the sidebar
  2. Click Create Workspace
  3. Enter a workspace name (e.g., your YouTube channel name, production company, or team name)
  4. Optionally add a description and upload a logo
  5. Click Create

Your new workspace is immediately ready. You can start creating boards, inviting members, and configuring settings.

The number of workspaces you can create depends on your subscription plan. Free plans include 1 workspace. Paid plans offer more workspaces. Your role must also have permission to create workspaces.

Workspace Structure

Each workspace contains:

All of these components are scoped to the workspace — data in one workspace is completely isolated from other workspaces.

Switching Between Workspaces

Click the Workspace Picker in the sidebar to see all workspaces you belong to. Click any workspace to switch to it. The switch is instant — the entire UI updates to show the selected workspace's content.

Each workspace has its own URL, like https://app.flokan.com/w/abc123/my-workspace (opens in a new tab) — you can bookmark these for quick access to specific workspaces.

Workspace Settings

Access workspace settings from Settings in the sidebar:

  • General — Workspace name, description, and logo
  • Members — Invite and manage team members (see Members)
  • Roles & Permissions — Create custom roles with granular permissions (see Roles & Permissions)
  • Discord — Connect your Discord server (see Discord)
  • Slack — Connect your Slack workspace (see Slack)
  • Automations — Workspace-level automation preferences
  • AI Providers — Configure BYOK API keys (see AI Providers)

Workspace Ownership

Every workspace has an owner — the person who created it (or had ownership transferred to them). The owner has special privileges:

  • Full control over all workspace settings
  • Access to workspace billing and subscription management
  • Ability to delete the workspace
  • Cannot be removed from the workspace by other members

Ownership can be transferred to another workspace member if needed.

⚠️

Deleting a workspace permanently removes all its content — boards, cards, files, documents, automations, and history. This action cannot be undone. If you have automations configured, the workspace deletion event will fire before the data is removed.
