Cards
Cards are the fundamental unit of work in Flokan. Each card represents a single video project, task, or piece of content that moves through your production pipeline. Cards are rich, detailed containers that hold everything related to a specific piece of work — from scripts and thumbnails to checklists and activity logs.
Card Overview
When you open a card (by clicking on it in the kanban or spreadsheet view), you'll see a detailed modal with all the card's information organized into sections. The card detail view is designed to be your single source of truth for everything related to that video project.
Card Properties
Title
The card title is the most visible property — it appears on the kanban card, in spreadsheet rows, in search results, and in notifications. Choose a clear, descriptive title that your team can immediately understand. Titles can be edited inline by clicking on them.
Description
The card description supports rich text formatting — bold, italic, headings, lists, links, code blocks, and more. Use it to write detailed briefs, outlines, or production notes. The description editor uses the same editor as Flokan's document system, so all formatting features are available.
Assignees
Assign one or more team members to a card to indicate who's responsible for the work. Assignees appear on the kanban card view so you can see at a glance who's working on what. Assigned members receive notifications when the card is updated, commented on, or moved.
Due Date
Set a due date to track your publishing deadline or milestone. Flokan tracks due dates intelligently:
- Upcoming — Cards with due dates approaching are highlighted
- Due soon — Cards within the "due soon" window can trigger automations
- Overdue — Past-due cards are visually flagged and can trigger automations
Labels
Color-coded labels help categorize and filter your cards. Common label uses include:
- Content type — Tutorial, Vlog, Shorts, Live Stream, Podcast
- Priority — High, Medium, Low
- Status qualifiers — Blocked, Needs Review, Rush
- Series — Group related videos in a series
Flokan provides 7 label colors: red, orange, yellow, green, blue, purple, and pink. Each label can have a custom name.
Checklists
Add checklists to break a card into subtasks. Each checklist item can be checked off independently, and the card shows a progress indicator (e.g., "3/7 completed"). Checklists are great for tracking production steps within a single video:
- Script approved
- B-roll collected
- Music selected
- Thumbnail designed
- SEO tags added
- End screen configured
- Scheduled for upload
Content Attachments
One of Flokan's key differentiators is the ability to attach production-specific content directly to cards. Each attachment type has its own section with specialized handling.
Scripts
Attach video scripts to a card. Scripts can be:
- Uploaded as files
- Written directly in the card
- Linked from external sources
Script attachments can trigger automations, so you can automatically notify your team when a script is ready for review.
Thumbnails
Upload thumbnail images directly to a card. Flokan's thumbnail system supports:
- Multiple versions — Upload several thumbnail options and track which version is current
- Version history — See all previous thumbnail versions with timestamps
- Approval workflow — Thumbnails flow through the Thumbnail Pipeline for team review
- YouTube preview — See how the thumbnail will appear on YouTube before uploading
Thumbnail uploads can trigger automations.
Videos
Link video files to a card with status tracking. This helps your team know exactly where each video file is in the production process.
Video attachments can trigger automations.
Voiceovers
Attach voiceover recordings to a card. This is especially useful for teams that work with narrators or AI-generated voiceovers.
Voiceover attachments can trigger automations.
General Attachments
Upload any other file type to a card. All file attachments are stored in Flokan's storage system and can trigger automations.
Activity Log
Every card maintains a complete activity log that records:
- When the card was created and by whom
- Every time the card was moved between lists (with timestamps)
- All assignee changes
- Due date changes
- Description edits
- Attachment uploads
- Comments from team members
- Label additions/removals
- Checklist updates
The activity log is your audit trail — it tells the full story of how a video project progressed from start to finish.
Comments
Team members can leave comments on cards to discuss the work, provide feedback, or ask questions. Comments support rich text formatting and @mentions. When you @mention someone, they receive a notification directing them to the card.
Card Short URLs
Every card has a unique short URL that you can share anywhere. Short URLs work across workspaces — when someone clicks a card short URL, Flokan automatically resolves which workspace and board the card belongs to and navigates there.
Card short URLs are especially useful for sharing in Discord, Slack, or email. The recipient just needs to be a member of the workspace to access the card.
Card Actions
Right-click a card or use the card menu to access actions:
- Move — Move the card to a different list or board
- Copy — Duplicate the card
- Archive — Remove the card from the active view (can be restored)
- Delete — Permanently remove the card
- Copy Link — Copy the card's short URL to your clipboard
