Boards & Kanban
Boards are the core of Flokan's project management system. Every board is a visual representation of your production pipeline, where video projects (represented as cards) move through customizable workflow stages (represented as lists). If you've used Trello, you'll feel right at home — but Flokan's boards are purpose-built for YouTube production with features like content attachments, thumbnail workflows, and production-specific templates.
Board Views
Every board supports two views that you can switch between at any time. Your view preference is saved per board.
Kanban View
The kanban view is the default and most visual way to work with your boards. It presents your workflow as a series of vertical columns (lists), with cards stacked within each column.
How it works:

Lists are the vertical columns. Each list represents a stage in your production workflow — for example, "Ideas", "Scripting", "Filming", "Editing", "Published". You can have as many lists as you need, and they can be reordered by dragging.

Cards are the individual items within each list. Each card typically represents one video project, but you can use cards to track any unit of work. Cards display key information at a glance: title, assignees, due date, labels, and content attachment indicators.

Drag and Drop is how you move work forward. Drag a card from one list to another to update its status. Drag cards within a list to reorder priorities. Drag entire lists to rearrange your workflow stages.
Keyboard navigation: Power users can navigate boards with keyboard shortcuts for creating cards, moving between lists, and opening card details without touching the mouse.
Spreadsheet View
The spreadsheet view displays all cards on a board in a tabular format, similar to a spreadsheet or database view. This is especially useful when you need to:
- See all cards at once without scrolling horizontally through lists
- Sort and filter by any field — due date, assignee, label, status, creation date
- Bulk edit card properties by clicking directly in cells
- Export data — the tabular format is easy to copy into external tools
- Get a high-level overview of your entire production pipeline in one screen
Each column in the spreadsheet represents a card property, and each row is a card. You can show/hide columns, resize them, and sort by clicking column headers.
Board Management
Creating Boards
Click Create Board from the sidebar or the boards grid page. When creating a board, you can:

Choose a template — Start with a pre-built template that includes lists, labels, and structure designed for specific workflows. Templates save significant setup time and encode production best practices.

Start blank — Create an empty board and configure everything from scratch. Ideal for unique or experimental workflows.

Name and configure — Give your board a descriptive name. You can also set an optional description that appears at the top of the board.
Creating boards requires the appropriate role permissions. The number of boards you can create may be limited by your subscription plan. Contact your workspace admin if you can't access this feature.
Board Templates
Templates are pre-configured board setups that you can use as starting points. Flokan includes built-in templates for common YouTube production workflows, and you can save any board as a custom template to reuse later.
Built-in templates include:
- YouTube Video Pipeline — A complete production workflow from ideation to publishing
- Content Calendar — A date-focused board for planning your upload schedule
- Custom templates — Save your own board configurations as templates for your team
Board Members
Each board has its own member list, separate from workspace membership. This means you can control exactly who has access to each board — useful when different teams work on different boards within the same workspace.
- Adding members — Invite workspace members to a specific board
- Board roles — Members can have different permission levels per board
- Permission granularity — Board-level permissions control exactly what each member can do on that specific board, such as editing descriptions, managing lists, or working as a thumbnail designer
A user needs both workspace membership and board membership to access a board. Workspace-level permissions and board-level permissions are layered — both must be satisfied.
Board Short URLs
Every board has a shareable short URL for quick access. Share this URL with team members to give them direct access to the board. The short URL automatically resolves to the correct workspace.
Board Settings
Access board settings by clicking the settings icon on the board page:
- Board name and description — Update the board's display name and optional description
- List management — Add, rename, reorder, or archive lists
- Member management — Add/remove board members and change their board-level roles
- Board visibility — Control whether the board is visible to all workspace members or only board members
- Board reordering — Drag boards in the sidebar to set their display order
Boards Grid View
The boards grid page shows all boards in your workspace as visual cards. From here you can:
- See all your boards at a glance with thumbnail previews
- Create new boards
- Search and filter boards
- Reorder boards by dragging
- Navigate to any board with a single click
