Introduction
Welcome to the Flokan documentation. This guide covers every feature of the platform in detail, from basic setup to advanced automation workflows.
What is Flokan?
Flokan is a YouTube production platform built for creators, agencies, and production teams who need more than a simple project tracker. It combines the best aspects of several tools into one unified experience:
-
Project Management — Trello-style kanban boards with spreadsheet views, designed specifically for video production pipelines. Track every video from ideation through scripting, filming, editing, thumbnail design, and publishing.
-
AI Content Generation — A suite of AI-powered tools for generating images, thumbnails, and videos. Use natural language prompts with style presets, chat-based refinement, and multiple model tiers from standard to premium.
-
Collaborative Editing — A Confluence-style document editor with real-time collaboration. Multiple team members can edit simultaneously with live cursors, presence indicators, and automatic conflict resolution.
-
Workflow Automation — A visual workflow builder with 21 event triggers and 33+ actions spanning card events, Discord server management, Slack messaging, email, webhooks, and more. Automate repetitive production tasks without writing code.
-
Analytics & Tracking — KPI dashboards, video performance metrics, member activity tracking, and scheduled report generation to keep your team accountable and your channel growing.
-
File Storage — A full file management system with folder hierarchies, drag-and-drop uploads, file previews, public sharing, DOCX import/export, and version history.

Key Concepts
Before diving in, here are a few concepts that appear throughout Flokan:
Workspaces
A workspace is the top-level container for your team. It holds all your boards, files, automations, and members. You can have multiple workspaces — for example, one per YouTube channel.
Permissions
Flokan uses a workspace-scoped, role-based permission system. There are no fixed roles like "admin" — instead, you create custom roles and assign granular permissions. A user can have different roles in different workspaces.
Feature Flags
Features are gated at two levels: your subscription plan determines which features are available, and role permissions determine which team members can access them.
AI Credits
AI-powered features consume credits from your plan balance. Credits belong to the subscription plan (owner-level) and are shared across all workspaces owned by the plan holder. Different AI model tiers cost different amounts of credits.
