Notifications

Flokan's notification system keeps you informed about activity in your workspaces without requiring you to constantly check the app. Configure which events trigger notifications and how they're delivered — so you only get alerts that matter to you.

Notification Channels

In-App Notifications

The notification bell in the top bar shows your unread notification count. Click it to see a chronological list of recent notifications. Each notification includes:

  • What happened — A clear description of the event
  • Who did it — The team member who triggered the event
  • When — Timestamp
  • Quick link — Click the notification to navigate directly to the relevant item (card, document, board, etc.)

In-app notifications are delivered in real-time — they appear the moment the event occurs, without needing to refresh the page.

Email Notifications

Receive email summaries of important workspace activity. Email notifications are useful when you're not actively using Flokan but still want to stay informed about critical events.

Notification Settings

Navigate to Settings → Notifications to customize your preferences. You can toggle notifications on or off for each category independently.

Card Activity

  • Card updates — When cards you're assigned to are modified (title, description, due date, labels)
  • Card moves — When your assigned cards move between lists
  • Card comments — When someone comments on a card you're assigned to or watching
  • Card assignments — When you're assigned to or unassigned from a card

Board Activity

  • New cards — When new cards are created on boards you're a member of
  • Board changes — When board settings, lists, or membership change

Mentions

  • @mentions — When someone mentions you in a comment, document, or card description. This notification type is typically always on, as mentions are directed specifically at you.

Automations

  • Workflow success — When your workflows complete successfully (useful for confirming critical automations ran)
  • Workflow failure — When your workflows fail or encounter errors (important for catching issues quickly)
  • Workflow needs attention — When a workflow requires manual intervention

Team Activity

  • Member joins — When new members join workspaces you belong to
  • Member leaves — When members leave or are removed from your workspaces
  • Role changes — When member roles are updated

Per-Feature Controls

Each notification category can be toggled independently for both in-app and email channels. For example, you might want:

  • Card comments → in-app only (real-time awareness without email clutter)
  • Workflow failures → both in-app and email (critical alerts you don't want to miss)
  • New board members → off (not relevant to your role)

Notification Preferences Tips

For team leads and managers: Enable broad notifications — board activity, team changes, and automation alerts. You need to stay aware of what's happening across the workspace.

For individual contributors: Focus on card-specific notifications — updates and comments on your assigned cards, @mentions, and due date reminders. Disable workspace-wide notifications that don't affect your daily work.

For workspace owners: Enable billing and administration notifications in addition to relevant production notifications. You'll want to know about member changes, automation failures, and any system-level events.

Notification preferences are personal — each team member configures their own settings. Your choices don't affect what other members receive.
