Getting Started
This guide walks you through everything you need to get up and running with Flokan — from creating your account to setting up your first production board and inviting your team.
Creating Your Account
Sign Up
Visit app.flokan.com (opens in a new tab) and click Sign Up. Enter your email address and create a secure password. You'll receive a verification email — click the link to confirm your account.
Complete Onboarding
After verifying your email, Flokan guides you through a quick onboarding flow:

Name your workspace — This is your team's home base. Choose something recognizable, like your YouTube channel name or production company. You can always change it later in Settings.

Set your role — Let Flokan know your role so it can tailor the experience. Whether you're a creator, editor, designer, or manager, the platform adapts to show you the most relevant features first.

Invite your team — Add team members by email or generate a shareable invite link. Each invited member will receive an email with instructions to join your workspace. You can also skip this step and invite people later from Settings → Members.
Explore Your Workspace
Once onboarding is complete, you'll land on your workspace home page. Take a moment to familiarize yourself with the layout:

Sidebar (left) — Your main navigation hub. Access Boards, Automations, Storage, Thumbnails, Tracking, AI tools, and Settings. The sidebar is collapsible — click the toggle or press the keyboard shortcut to expand/collapse it.

Top Bar — Contains the global search bar (accessible via ⌘K on Mac or Ctrl+K on Windows), notification bell, dark/light mode toggle, and your user menu.

Your Boards — A quick-access list of your boards appears in the sidebar, so you can jump to any board with one click.
Creating Your First Board
Boards are where the real work happens. Each board represents a production pipeline — a visual workflow where cards (video projects) move through stages.
Create a New Board
Click Create Board in the sidebar or on the boards page. You have two options:

Start from a template — Flokan offers pre-built templates designed for common YouTube production workflows. Templates come with pre-configured lists, labels, and card structures so you can start working immediately.

Start blank — Create an empty board and set up your own lists and workflow from scratch. This is ideal if you have a unique production process.
Set Up Your Lists
Lists are the vertical columns on your kanban board. Each list represents a stage in your workflow. A typical YouTube production pipeline might look like:

You can add, rename, reorder, or archive lists at any time. There's no limit to the number of lists on a board.
Create Your First Cards
Click Add Card at the bottom of any list to create a new card. Each card represents a single video project. Give it a title (usually the video topic or working title) and optionally add:
- A description with rich text formatting
- A due date for your publishing deadline
- Assignees from your team
- Labels for categorization (e.g., "Tutorial", "Vlog", "Shorts")
- A checklist of subtasks
Drag and Drop
As your video progresses through production, simply drag the card from one list to the next. The entire team can see the current status of every video at a glance. Cards can also be reordered within a list to set priorities.
