Members
Every workspace has its own set of members — the people who can access and contribute to the workspace's boards, files, automations, and other content. This page covers how to invite members, manage their access, and understand member limits.
Viewing Members
Navigate to Settings → Members to see everyone in your workspace. The member list shows:
- Name and email — The member's identity
- Role — Their assigned workspace role (which determines their permissions)
- Joined date — When they joined the workspace
- Status — Active member or pending invite
Inviting Members
Via Email
- Go to Settings → Members
- Click Invite Member
- Enter the person's email address
- Select which role to assign them
- Click Send Invite
The person receives an email invitation. If they don't have a Flokan account, the email includes a link to sign up. Once they accept, they're added to the workspace with the role you selected.
Via Invite Link
- Go to Settings → Members
- Click Copy Invite Link
- Share the link however you prefer — Discord, Slack, email, text message
Anyone who opens the invite link can join the workspace. They'll be prompted to sign up or log in, then automatically added as a member. Invite links assign a default role that you can configure.
You can also invite members during the onboarding process when first creating a workspace. The process is the same — enter emails or share a link.
Managing Members
Change a Member's Role
Click the role badge next to any member to open the role selector. Choose a new role and save. The member's permissions update immediately — they'll see the change the next time they load the page.
Remove a Member
Click the remove button (or right-click → Remove) on any member to remove them from the workspace. This:
- Revokes their access to all workspace content (boards, files, automations, etc.)
- Removes them from all boards in the workspace
- Does not delete any content they created — cards, files, and comments remain
- Can trigger automation workflows configured for member removal events
Removing a member is immediate. They will lose access as soon as the removal is processed. If they need to rejoin later, they'll need a new invitation.
The Workspace Owner
The workspace owner appears in the member list but cannot be removed. Only the owner can:
- Access billing settings
- Delete the workspace
- Transfer ownership to another member
Member Limits
The number of members you can have per workspace depends on your subscription plan:

When you approach your member limit, Flokan shows a warning. If you're at the limit, the Invite button will be disabled with a message indicating that you need to upgrade to add more members.
The member limit UI includes:
- Usage indicator — "X/Y members used" displayed near the invite button
- Upgrade prompt — If you have access to billing settings, you'll see an "Upgrade Plan" button. If not, you'll see a "Contact your admin to upgrade" message.
Access
Any member can see other members' names and roles. Managing members (inviting, removing, changing roles) requires additional permissions defined in your workspace roles. Contact your workspace admin if you need access to member management.
